Terms & Conditions
BedBook is operated by Design My Website (“BedBook”, “we”, “us”, “our”), a business based in Ireland. You can contact us at hello@bedbook.ie or on066 717 4067.
These Terms are in two parts. Part A applies to accommodation providers who use BedBook to take bookings (our customers). Part B applies to guests who make a booking through a BedBook-powered website or booking widget. By using BedBook you agree to the part or parts that apply to you.
Please read these together with our Privacy Policy, which explains how personal data is handled.
Part A — Terms for accommodation providers
1. The service
BedBook provides software that lets independent accommodation providers take direct, commission-free bookings — including a booking widget you can add to your own website, an owner dashboard (diary, rooms, rates and calendar tools), and, where offered, a website we build for you. We provide the technology; we are not a travel agent, tour operator or the merchant of record for your bookings.
2. Your account
You must give accurate account and property information and keep it up to date. You are responsible for keeping your login details secure and for all activity under your account. You must be authorised to offer the property for booking and be at least 18 years old.
3. Subscription and fees
- BedBook is offered on a monthly subscription. The current beta price is €29 per month plus VAT, billed in advance. VAT is added at the applicable rate at checkout.
- BedBook takes 0% commission on your bookings. Payments from guests are processed by Stripe and paid to your own account; Stripe’s card-processing fees apply separately and are not set by us.
- You can cancel your subscription at any time; it ends at the close of your current billing period. Fees already paid are non-refundable except where required by law.
- We may change subscription prices or features on reasonable notice (at least 30 days for a price increase). Continuing to use BedBook after that means you accept the change.
4. Website builds (where offered)
Where your plan or a promotion includes a website we build for you, it is provided as part of your ongoing subscription and hosted by us. You own the content and images you supply; we retain ownership of the underlying templates, code and design system. If your subscription ends, the hosted BedBook website and booking service stop, though you keep the content you provided.
5. Your responsibilities
- Ensure your listings, prices, availability, photos and policies are accurate and lawful.
- Hold any registration, licence or permission required to let your property (for example short-term letting registration and any Fáilte Ireland or planning requirements) and comply with all applicable law.
- Account for your own taxes. You are the provider of the accommodation and the party contracting with the guest.
- Set and honour your own house rules, cancellation policy and guest communications, and respond to guests promptly.
- Use BedBook only for lawful purposes and not to send spam or unlawful content.
6. Payments to you
If you enable online payments, they are handled through Stripe Connect and paid directly to your Stripe account. BedBook does not hold, receive or control guest funds. Your relationship with Stripe is governed by Stripe’s own terms. You are responsible for issuing any receipts or invoices your guests or the law require.
7. Availability and calendar sync
BedBook can sync availability with other sites (such as Airbnb and Booking.com) using iCal. Calendar sync depends on those third parties and is not instant, so a short double-booking window can exist, particularly if you do not connect your calendars. You are responsible for keeping your calendars connected and for managing your availability; BedBook is not liable for double bookings or losses caused by third-party calendar delays or outages.
8. Intellectual property
BedBook and its software, design and content are owned by Design My Website and licensed to you for the term of your subscription. You keep ownership of your own business content; you grant us the licence needed to host and display it and to operate the service.
9. Data protection
For guest personal data collected through your bookings, you are the data controller and BedBook acts as your data processor, handling that data only to provide the service and on your instructions. We use trusted sub-processors (including Stripe for payments, Brevo for email, and our hosting providers). See ourPrivacy Policy for detail. A data processing agreement is available on request.
10. Service, support and availability
We work to keep BedBook available and to provide reasonable support, but we do not guarantee uninterrupted or error-free service. We may carry out maintenance and update or improve the service from time to time.
11. Suspension and termination
You may stop using BedBook and cancel at any time. We may suspend or end your access if you breach these Terms, fail to pay, or use the service unlawfully or in a way that risks harm to guests, other users or us. On termination your right to use BedBook ends; we will handle any personal data in line with our Privacy Policy.
12. Liability
Nothing in these Terms limits liability that cannot be limited by law (including for death or personal injury caused by negligence, or fraud). Subject to that, BedBook is not liable for the acts or omissions of guests or of third-party services, for lost profits or revenue, or for indirect or consequential loss. Our total liability to you in any 12-month period is limited to the subscription fees you paid us in that period.
13. Indemnity
You agree to indemnify BedBook against claims arising from your property, your bookings, your content, or your breach of these Terms or of the law.
Part B — Booking terms for guests
14. Who you are booking with
When you book through a BedBook-powered website or widget, your booking contract isdirectly with the accommodation provider (the property), not with BedBook. BedBook provides the booking technology only and is not a party to your stay.
15. Making a booking
Please check your dates, guest numbers and details before confirming. A booking is confirmed when you receive a confirmation. The property is responsible for the accuracy of its listing, prices and availability.
16. Prices, deposits and payment
Prices are set by the property and shown before you book. Where a deposit or payment is taken, it is processed securely by Stripe and paid to the property; BedBook does not hold your funds and does not store your full card details. Any balance is due to the property as stated at booking.
17. Cancellations, changes and refunds
Cancellations, changes and refunds are governed by the property’s own cancellation policy, shown to you at the time of booking. Please contact the property directly about any change to your booking.
18. Your stay
You agree to follow the property’s house rules and to provide accurate booking information. The property is responsible for the accommodation and your stay. Any complaint about the stay should be raised with the property; for technical issues with the booking tool you can contact BedBook athello@bedbook.ie.
19. BedBook’s role and liability to guests
Because BedBook only provides the booking technology, we are not responsible for the accommodation, the conduct of the property or guest, or the performance of your booking. This does not affect your statutory consumer rights or any rights you have against the property.
General
20. Changes to these Terms
We may update these Terms from time to time. The “last updated” date above shows the current version, and continued use of BedBook means you accept the current Terms.
21. Governing law
These Terms are governed by the laws of Ireland, and the courts of Ireland have jurisdiction, without affecting any mandatory consumer-protection rights you have where you live.
